Privacy Policy

Last updated June 13, 2026

This Privacy Policy explains how Contractor Back Office, operated by [Legal Entity Name] ("Company", "we", "us"), handles information when you use our website and our software for running a contracting business (the "Service").

Highlights

  • What we collect: the information you give us to run your business (your account details, your customers' contact and billing info, invoices, payments, jobs, and documents), plus basic usage and device data.
  • Why: to provide the Service — send invoices and reminders, process payments, keep your books, and support you.
  • Who we share it with: vetted service providers that help us run the Service (payments, email, text messaging, hosting, analytics, and optional AI features). We do not sell your data.
  • Your choices: you can access, correct, export, or delete your information, and opt out of non-essential messages.
  • Contact: reach us anytime through our contact page.

Who this covers

The Service is used by contractors ("you") to manage their own customers. When you upload your customers' information, you are the owner of that data and we process it on your behalf to provide the Service. This policy describes our own practices; how you handle your customers' information is governed by your agreement with them and applicable law.

Information we collect

  • Account information — your name, email, password (stored only as a secure hash), business name, trade, and contact details.
  • Business and customer data you provide — your customers' names, phone numbers, emails, and addresses; estimates, invoices, payments, jobs, expenses, inventory, and documents you create or upload.
  • Payment information — when you or your customers pay through the Service, card and bank details are collected and processed by our payment processor (Stripe). We do not store full card numbers.
  • Usage and device data — pages viewed, actions taken, approximate location from IP address, browser and device type, and similar technical data.
  • Cookies and similar technologies — see Cookies below.

How we use information

  • Provide, operate, and improve the Service.
  • Send invoices, reminders, receipts, and the messages you ask us to send on your behalf.
  • Process payments and keep your financial records.
  • Provide support and respond to your requests.
  • Protect against fraud, abuse, and security risks, and comply with law.
  • Send you service and account communications (and, only if you opt in, product tips — you can opt out anytime).

How we share information

We share information only as needed to run the Service:

  • Service providers (subprocessors) that process data on our behalf, under contract:

    Provider Purpose
    Stripe Payment processing
    Resend Transactional and notification email
    Telnyx Text messaging (SMS)
Anthropic Optional AI features (see below)
    Plaid Optional bank-account connections
    Backblaze B2 Encrypted document/file storage
    Google Analytics Website analytics
  • Professional advisors (lawyers, accountants) and authorities, where required by law or to protect rights and safety.

  • In a business transfer (merger, acquisition, or sale of assets), subject to this policy.

We do not sell your personal information, and we do not share it for cross-context behavioral advertising.

AI features and your data

Some optional features use artificial intelligence — for example, writing a reminder in your voice or personalizing a tip email. These features are off unless you enable them. When you use them, the relevant content (such as a message you're editing) is sent to our AI provider (Anthropic) to generate a result. We choose providers that do not use your data to train their models through their business API. We never use your customers' data to build advertising profiles.

Cookies and tracking

We use a small number of cookies and similar technologies to keep you signed in, remember preferences, and understand site usage (via Google Analytics). You can control cookies through your browser settings; essential cookies are required for the Service to work.

Your rights and choices

Depending on where you live (including under the GDPR and the CCPA/CPRA), you may have the right to:

  • Access the personal information we hold about you.
  • Correct inaccurate information.
  • Delete your information.
  • Export a copy of your data in a portable format.
  • Opt out of non-essential messages and of any "sale" or "sharing" of personal information (note: we do not sell or share it).

To exercise any of these, contact us through the contact page. We will not discriminate against you for exercising your rights.

Security

We protect your information with encryption in transit, hashed passwords, tenant isolation, and access controls. No system is perfectly secure, but security is a priority — see our Security page for details.

Data retention

We keep information for as long as your account is active and as needed to provide the Service, comply with legal and tax obligations, resolve disputes, and enforce our agreements. When data is no longer needed, we delete or de-identify it.

International data transfers

We operate in the United States. If you access the Service from outside the U.S., your information will be processed in the U.S. and other countries where our providers operate, with appropriate safeguards where required.

Children's privacy

The Service is for businesses and is not directed to anyone under 18. We do not knowingly collect information from children.

Changes to this policy

We may update this policy from time to time. We'll change the "Last updated" date above and, for material changes, give you additional notice. Continued use of the Service after an update means you accept the revised policy.
